The site navigation utilizes arrow, enter, escape, and space bar key commands. Left and right arrows move across top level links and expand / close menus in sub levels. Up and Down arrows will open main level menus and toggle through sub tier links. Enter and space open menus and escape closes them as well. Tab will move on to the next part of the site rather than go through menu items.

Google Chrome, which can be downloaded for free. Firefox will also work.

What are the requirements for coaches/board members/admins/trainers/etc?

These individuals have the most to complete. Please make sure you are brushed up on our SafeSoccer requirements here.

Coaches:

  • Register in Stack.
  • Submit a current (within 6 mo.) photo; color, no animals, hats, sunglasses or other people; 150x300px or 200x400 px.
  • Upload a current concussion training certificate (CDC or NHFS) in their coach Member Account.
  • Complete SafeSport training.
  • Hold a current background check.
  • Be assigned to their team (competitive only).

Board Members/Admins/Trainers/Other Identified Adults (not a coach):

What do the three uploads for Coaches mean? What do we have to do?

For anyone who registers as a 'coach', when they log in to their Member Account in your league or club system they will see three upload slots assigned to their name:

Safety Certificate: Ohio South has no requirement for this slot. Your league may require a coaching license to be placed there. Contact them for more information on their requirement.

Concussion Document: This is where a coach may upload his/her current concussion training certificate. Not required for anyone but coaches.

Abuse Prevention (aka SafeSport): This is where anyone who registers as a 'coach' should take SafeSport training. The button will say 'Begin Training' if there is nothing uploaded in this slot from last year. Once completed, the API that connects Stack to SafeSport will automatically change the dot you see as the admin from grey to green. The certificate itself does not need to be uploaded if the dot turns green. Please reference this email for more information on the Dot UI and how to utilize it.

If it says 'Manage', then the document currently there needs to be removed. You can do this as an admin by going into their account in the backend and removing the current document. Once you remove it, it should say 'Begin Training' for the coach after he/she refreshes the page.

Please note that if the dot is green, the coach is good to go.

Please also note the 5 criteria that must match in Stack and SafeSport accounts created in order for the API to connect: first name, last name, birthdate, gender and email address. If any of those is off in either account, the API will not connect and will not turn the dot green.

Background Check Info

Background checks are run by NCSI and take 5-10 days to clear.

Background checks are $18 for competitive coaches and adults. There is no cost for recreational coaches and adults.

Background checks need to be submitted if you are a:

  • Coach
  • Admin/Manager
  • Staff
  • Trainer
  • Board Member
  • In regular and routine contact with a child outside of your own at the organization

Background checks are submitted through an external link that must be clicked on in a waiver during registration. Please click here for instructions.

Neither Ohio South nor NCSI ever run a credit report for anyone. The information you see on screen during submission is mandatory information required by the Federal government for NCSI to show everyone who submits a background screening through them.

In Stack, BC Status and RMA Status are the words used to denote the background check status, and it will show Cleared or Not Cleared.

A coach or other adult who shows Not Cleared does not mean they have failed the screening. It could mean that the name submitted does not match the name in Stack, or that not enough time has passed and the check is not completed yet.

If you have a coach or other adult who flew past the waiver during registration and needs to submit a background check, they may do so at OSYSA NCSI.

Please contact Steve Wood if you have questions or concerns: swood@osysa.com.

What is SafeSport and how do my coaches/board members/staff/admins/etc complete it?

SafeSport Information

In Stack, SafeSport is managed through the Abuse Prevention slot for anyone who registers as a 'coach'.

The Abuse Prevention slot is where anyone who registers as a 'coach' should take SafeSport training.

Where do I set up registration?

In your league or club specific Stack system. Go to the Directory.

How do I add additional categories to my existing event?

Please click here for instructions.

How do I open registration?

Please use these instructions for an already existing event.

I have parents/coaches saying they registered but I can't find them. Why?

Most likely, it is one of two things;

1) They are not a confirmed participant or coach.

2) They only created a Member Account and did not actually register into your event.

The most likely of the two is the second...this is a very common occurrence and means that the parent or coach only made their "universal Stack account" in your system, but they didn't complete a registration form to any event of yours.

Sign up for anyone new happens in these two parts;

  1. Member Account creation
  2. Registration to an event

When a parent or coach clicks on the Register Now button at your "yourclub.osysalive.com" site, or uses the direct URL from these buttons, it has them do both in progression at one time. The key here is that they have to keep going.

Stopping in the middle of registration will save their progress, but it only creates a Member Account - they must finish the registration in order to show in your backend.

We have also found that most parents get stuck on this page:

Choose_Player_Page

They just need to hit Continue Registration on this page to continue forward. They are not done.

So if you can't find a Coach or Player, they need to click the Register Now buttons or use the direct link you sent out, log in with the account they made, and continue through registration until done.

What are the dots I see in Find Player or Find Coach/Volunteer? What do they mean?

Please read this email.

How do I card my team?

Carding occurs through several steps;

  1.  All players and coaches need to register to their Age Group in your league or club Stack system. If returning, parents and coaches should use the same account from prior years to register!
  2.  Teams are formed to (under) the Age Group.
  3.  Players and coaches are assigned to the team.
  4.  The team is activated to the league that will do its carding via the Request Team Activation button. The league will then approve the team in their Stack system and Age/ID Verify any players that need it.
  5.  Once all players are verified, you should then register the team to the league via the Register for a league or tournament button on the team page, which should now be available.
  6.  The league will provide you with cards and rosters. Please be sure to communicate with your league!

What is the procedure for teams switching leagues in the Spring?

Teams who are switching leagues for the Spring season will register to the spring league in the system, but will continue to be affiliated with the fall league.

The fall league will continue to process cards and revised rosters for any new players that are added to the team.
