The site navigation utilizes arrow, enter, escape, and space bar key commands. Left and right arrows move across top level links and expand / close menus in sub levels. Up and Down arrows will open main level menus and toggle through sub tier links. Enter and space open menus and escape closes them as well. Tab will move on to the next part of the site rather than go through menu items.

Player/Coach Carding

This page is designed to assist leagues and clubs with registration, and competitive Club Admins with carding. If you are a parent or coach looking for instructions to register, please contact your club administrator. If you are a club or league admin looking for your unique Stack URL, please visit the Directory.

The Basics

Ohio South and our leagues use the Stack Sports system called U.S. Soccer Connect to card players and coaches. Carding occurs through the league the team will play in, and you will work with that league to get your player cards.

Every club playing in Ohio South is set up with a unique Stack system or portal. Within this system, you will collect registrations for players, coaches and other identified adults (OIA's). Only coaches and players are carded, but per mandates passed in May 2019 your OIA's are required to register in Stack as well. If you cannot find your club at the Directory, or have been instructed to have a system set up for your club, please contact Joe Gould (gould@osysa.com).

There are two main webpages you will utilize;

A)  Public Domain: "yourclub".osysalive.com - this is where parents, coaches and OIA's can go to set up a Stack account and get registered into your system. They can also return to this page to login to their Member Account (after they have initially registered). You will be able to place Register Now buttons here once your event is open.

B)  The Backend: "yourclub".osysalive.com/sam - this is where you, as the admin, will go to login to the backend/administrative side of your Stack system. From here, you will be able to monitor who has registered, form teams, activate to leagues for carding, and register to leagues for rostering.

Registration

Registration in Stack occurs through events. An event is what your players, coaches, board members, etc will register to, and is denoted in the backend of the system by a little white calendar icon on the left blue sidebar. Every event in your system has a form attached to it – some of them have more than one. You will see that the event usually has both a Participant (player) registration and a Coach/Volunteer registration – and each of these has a form specific to it. The structure of an event is very important in the Stack system. You should not change the structure of the event as set up currently. The Coach Pool allows for your coaches to register one time to your event, but then allows you to assign them to multiple teams if necessary.

So, to summarize, you have 1 event that collects 2 different kinds of registrations (player & coach) using 2 different forms (one for player, one for coach). This will make sense when you see it.

For the 2019-20 Seasonal year, Ohio South has placed the event in your system. Click here for instructions on how to open an existing event and place the Register Now buttons on your site.

You have the option to copy the direct link contained in the Register Now buttons at "yoursite.osysalive.com" and distribute them as you see fit (email, on your website, etc.), or you can distribute the "yoursite.osysalive.com" link.

When either of those direct links is clicked, or they click Register Now at "yoursite.osysalive.com", the person registering will have to set up a Stack account first, and then it will proceed to the actual registration. They must run all the way through registration, until they can go no more. There is one page in the player registration (Choose Player) specifically where many parents get hung up, because they think they are done – they need to hit Continue Registration to keep going (see below example – looks same in yours minus league name). They will use the same account to register in Stack year after year.

As of the 2019-20 Season, new regulations have gone into place in order to help enforce a safer playing environment for all players in Ohio South. You can, and should, read up on these here. Essentially, all adults in regular contact with your players are required to go through SafeSport training (free through Ohio South) and undergo a background check ($18 for competitive, but Ohio South is eating that cost for our Rec members). These adults are;

  • Coaches and Soccer Trainers
  • Board Members
  • Club Admins, Team Admins and Team Managers
  • Tournament Organizers
  • Athletic Trainers
  • Organizational Employees who may have the opportunity to have direct and unmonitored access to minors

The specified adults listed above can take care of all SafeSoccer requirements via your Stack system – and they will all have to register as a coach, even if they are not one, in order to do so. You can find a lot more information on this here: www.osysalive.com/1920.

A key procedure to your success with these new requirements will be the communication from you, the club or league, that;

  1. This registration is to help create a safer playing environment for your child and provide educational opportunities to you on important health practices.
  2. This registration fulfills State and Federal legal requirements that you are subject to as a soccer club or league, which we call SafeSoccer.

    3. SafeSport (Federal)
    4. Background Checks (Ohio South)
  3. Competitive coaches and players will not be carded unless they are compliant with the four SafeSoccer requirements.

Knowing this, we have found that very few parents, coaches, admins, board members, etc. have any issue completing the registration.

Player Requirements

Competitive:

  • All players who register will be asked to upload a photo and birth certificate.
  • Parents should be prepared to upload a copy of the players birth certificate (PDF) and a current color headshot of their child; 300x450px or 150x200 px, with no animals, hats, sunglasses, or other people.

Recreational:

  • All players are required to register. Photo and birth certificate submission is NOT required for Rec players and parents can move past these steps during registration. They do not need to be assigned to teams in the system unless you choose to do that.
Coach Requirements:

All coaches who register will be required to:

  1. Upload a headshot photo of themselves. 300x450px or 150x200 px, with no animals, hats, sunglasses, or other people*.
  2. Upload a valid, current concussion training certificate.
  3. Submit a background check ($18 for competitive coaches).

*Rec coaches are NOT required to upload a photo. They may move past this step. They do not need to be assigned to teams in the system unless you choose to do that.

Other Identified Adult Requirements:

OIA's are:

  • Coaches and Soccer Trainers
  • Board Members
  • Club Admins, Team Admins and Team Managers
  • Tournament Organizers
  • Athletic Trainers
  • Organizational Employees who may have the opportunity to have direct and unmonitored access to minors

They are required to:

  1. Register in their club or league system.
  2. Submit a background check ($18 for competitive/club associated OIA's).

They do not need to be assigned to teams in the system unless you choose to do that. Although they will be asked, they do NOT need to upload a photo or a concussion certificate.

Forming Teams

At some point you will need to form teams in your system by both creating the team itself and assigning players and coaches to it. Competitive teams need to be affiliated in Stack to the league that will do their carding, so that players and coaches can be verified and the team may be processed.

Rec leagues who would like to use the system to form teams may do so, but there is no affiliation requirement.

Carding

Only competitive club players are carded in Ohio South. In order to be carded, a team must activate to the league that will do its carding. Players and coaches will only be carded after they have met the requirements outlined in the above sections. In Stack, there are two steps to do this.

Activation and Registration

  1. The first step is to make sure that you have the team ready to go.
  • Are players and coaches assigned?
  • Have coaches passed a background check, uploaded a current concussion certificate and completed SafeSport?
  • Do you have the right Program Type assigned to the team? It should be set to Competitive.
  • Is the Age Group right?
  • Is the gender right? Keep in mind that a team can be built Coed, but when affiliating to a league where you will play either Boys or Girls, the gender under Association Reporting Options on your team page has to be set to boys or girls depending on who you'll face in your league, not coed.
  1. The second step is to activate the team to the league. This sends information to the league in order for them to approve your team, Age/ID Verify any players who need it, and print cards. This is done by clicking the 'Request Team Activation' button on a team page. No player or coach can be verified until this is done.

After you request, the league has to accept you. You can check your teams status under Association Reporting Options in the team page. The status will change to Approved when the league has accepted you.

  1. The final step is registering to the league. Once your team has been accepted by the league, you'll see that the 'Register for a league or tournament' button is now enabled. Click this button, select the league your registering to, and run through the form. Please note that all your players must be verified before you can register to a league.
