State Cup Information and Common Q & A

 

Q. What forms are required for State Cup games and where do we send the scores/forms after the game is complete?

Q. How do we schedule referees for the Self Schedule and Prelim State Cup games?

State Cup assignors must be used. You cannot use club or league assignors for State Cup games. Submit the Referee Request Form for any new requests or for updates to an existing request.

Q. What is the hotline number during the Round Robin and Semis/Finals weekends to call for field cancellations/updates due to weather?
 
We will be using the Dayton field hotline at 937-285-0008. Please check for changes.  There will also be a text alert system you can sign up for.
 

Q. What is the deadline to have the single elimination preliminary game scheduled and played by?

All preliminary games must be scheduled by March 13 and played by April 15, 2018. Do not wait until the last day to play because if you get canceled, there will be no time for reschedules. We cannot grant extensions.
 

Q. What is the deadline to have the Self Schedule Round Robin game scheduled and played by?

Your first Round Robin game must be scheduled by April 7 and played by May 6, 2018. Do not wait until the last day to play because if you get canceled, there will be no time for reschedules. We cannot grant extensions
 
Q. If we are playing the game in a different district than where we are from, what do we put on the referee request form?
Please use the district number based on where the game will be played, so that referees may be assigned from the district where the game will take place.
 

Q. How do we know that referees are scheduled for our game?

Once you submit the referee request form, you should receive a copy of the form you submitted. You will also get an email from Ohio South that your referee request form has been received. As the game gets closer, you can then pick your game date and location under the league admin section of the link below to double check that your State Cup self schedule game is on the ref schedule and refs have been assigned. http://www.thegameschedule.com/ohiosouth/.  It can take a few days from the time you submit the online ref request form to the time they enter it into the referee system.
 

Q. What happens if we need to change our game date or location and we have already submitted a referee request form?

 
On the referee request form, there is an option to update a previously submitted game. Please do everything in your power not to change this game. Make sure you have all current field and location information prior to submitting the request. Once the referee request form has been submitted, there will be no reschedules allowed outside of weather cancellations and/or field closures.  If you need to cancel/postpone within 24 hours, please see below.
 

Q. How do we let the referees know if our self scheduled game gets cancelled/postponed at the last minute?

 
If you are rescheduling/cancelling within 24 hours you must reach your district assignor by PHONE AND EMAIL .

Q.Who pays the referee fees for State Cup?

 
Teams will each pay half of the referee fees for any preliminary games needed to get down to the round of 16 (or down to brackets of 4 if less than 16 teams enter in an age group) as well as the self schedule round robin game.
Ohio South will pay the referee fees for the Round Robin weekend as well as the Semis and Finals.
 

Q. How much do teams need to bring in order to pay the referees?

 
U11-12 9v9 Total referee fee is $88.00 so each team will pay $44.00 ($18/$13/$13)
U13/14-Total referee fee is $120.00 so each team will pay $60.00 ($25/$17.50/$17.50)
U15/16 Total referee fee is $140.00 so each team will pay $70.00 ($30/$20/$20)
U17/18/19 Total referee fee is $160.00 so each team will pay $80.00 ($35/$22.50/$22.50)
 

Q. What other costs may be incurred during State Cup?

 
The home team is responsible for obtaining and paying for the field rental for both the self schedule preliminary game and the self schedule round robin game. Both teams must agree on the date and time of the self schedule game. If two teams decide to meet at a neutral location, the home team has given up home field advantage and will not be responsible for paying the full field rental.
 

Q. What is the Club Pass Policy? 

Club pass players may be used for State Cup.  Players must be rostered to a team within your club that is an Ohio South/USYS carded team. Players may only be on one event roster for State Cup and/or Presidents Cup.   They may not play for any other team in either event.  If you wish to use a Club pass player, they must be included on your event roster that is turned in to the State office before the kickoff of the first State Cup game.

Q. Can we request our State Cup Round Robin Weekend games or Semis and Finals games to be moved to a different time and/or location?

 
We do not honor requests to change times and/or locations for the State Cup Ohio South Scheduled events.
The only time we will make a change is due to field or location issues.
 

Q. What if we have a league game, tournament, or our players have Prom or SATs?

 
State Cup games take precedence over all other soccer events. We do the best we can for scheduling, but we cannot make everyone happy. Make sure you communicate early with your parents so they avoid scheduling SATs on the day of State Cup. There are 7 testing dates.  Make sure they register for one of the other 5 test dates instead of in May.
 
Q. I am a coach of multiple teams.  Can you schedule my games so they do not conflict with each other?
 
Unfortunately, due to issues with field/time slot scheduling, referee availability, and having age groups play at the same time, we cannot schedule around coaches with mutilple teams at the Round Robin level.  If the teams advance to the Semis/Finals and play at the same time, we do try to move fields so they are next to each other.
 

Q. Can my team play in both the State Cup and President’s Cup?

 
No, teams may only play in one event as they run simultaneously.
 

Q. What age groups will be competing in State Cup?

 
U11-U19 boys and girls will now all be competing in the Spring tournament.
 

Q. Can my team play up in State Cup?

 
We do not allow teams to play up in State Cup.
 

Q. What are the scheduled event dates for State Cup?

Boys and Girls U11-19 Round Robin Weekend May 12-13, 2018
Semis and Finals May 19-20, 2018
Rain Date June 2-3, 2018
 
Q. What are the entry fees for State Cup?
 
The cost for U11 and U12-9v9 is $525.00.
The cost for U13-U19 11v11 is $550.00.
This is split into two payments.
 
(If your team has to play a single elimination preliminary game, but does not advance, all but $200.00 of the entry fee will be refunded)
 

Q. What is the playing format?

 
  1. Preliminary games will be played in single elimination format in order to get down to 16 teams or into brackets of 4 if less than 16 teams enter in an age group. These preliminary games are self scheduled between the home and visiting team.
  2. Once Preliminary games are completed, teams will be seeded into brackets of 4 and will play a Round Robin against the other three teams in their bracket. One of these round robin games will be self scheduled, and the other two will be scheduled by Ohio South during the Round Robin weekends. (All three of these games must be played regardless of whether they will affect the outcome for advancement.)
  3. The Semis and Finals games will be in single elimination format.
 

 

 

Q. Are there refunds if my team decides to withdraw from the tournament?

 
There are no refunds if your team withdraws.
 
 
Q. What is the maximum number of players that can be on the event roster?
 
The maximum number of players on the event roster for 9v9 is 16.  The maximum number of players on the event roster for 11v11 is 22.  Please note that for 11v11, a maximum of 18 players may be listed as game active.
